Job Description

Department: Supply Chain – Procurement Reports To: Manager, Import & Local Procurement The Procurement Executive is responsible for supporting the procurement function by sourcing quality materials, goods, and services in a timely and cost-effective manner. The role involves managing supplier relationships, processing purchase requisitions and purchase orders, maintaining procurement records, ensuring compliance with procurement policies, and coordinating with internal stakeholders to support uninterrupted business operations. Key Responsibilities • Source and evaluate vendors to ensure the best quality, pricing, delivery, and service. • Review and verify purchase requisitions, clarify specifications where necessary, and recommend suitable alternatives. • Prepare, process, and track purchase orders for materials, equipment, and services. • Build and maintain strong working relationships with suppliers and negotiate favourable commercial terms where applicable. • Maintain an up-to-date supplier database, including vendor performance, pricing, delivery timelines, and contract information. • Ensure procurement records, purchase documentation, and supplier information are accurate and properly maintained. • Monitor supplier performance and resolve issues relating to quality, delivery, or order discrepancies. • Coordinate with Production, Maintenance, Stores, Sales, Finance, and other departments to ensure procurement requirements are met. • Ensure compliance with company procurement policies, procedures, and applicable regulatory requirements. • Support contract administration and procurement reporting as required. • Liaise with suppliers, manufacturers, auditors, customers, and relevant regulatory bodies when necessary. Requirements & Qualifications • Bachelor's degree in Purchasing & Supply, Supply Chain Management, Procurement, Business Administration, or a related discipline. • 12–15 years of relevant experience in procurement, purchasing, or supply chain management, preferably within a manufacturing or industrial environment. • Strong procurement and vendor management experience. • Excellent negotiation and supplier relationship management skills. • Commercial and business acumen. • Strong analytical and numerical skills. • Excellent verbal and written communication skills. • Ability to manage multiple priorities and meet deadlines. • High attention to detail and strong organizational skills. • Proficiency in Microsoft Office, particularly Excel and Word. • Knowledge of procurement policies, purchasing processes, and contract administration. Key Performance Indicators • Supplier quality performance. • Procurement compliance rate. • Purchase order processing cycle time. • Supplier performance and vendor database management. • Procurement lead time. • Cost savings and procurement efficiency.
